Hiring terms and conditions

Management and Administration

The premises are managed by Mrs Lindsay Wilson, who can be contacted on 01768 862787. The administration is done by Jenny MacKenna who can be contacted via The Circuit Office between 9am and 1pm on Monday to Friday each week.
Invoices are sent out monthly unless other arrangements are agreed. We would ask that you settle invoices within 30 days. Cheques are to be made payable to 'Penrith Methodist Church' and sent to The Treasurer, Penrith Methodist Church, Wordsworth St., PENRITH, Cumbria, CA11 7QY . Any queries you may have regarding your invoices should be addressed to Jenny MacKenna.

Security of the Premises

The church cannot be responsible for any loss sustained by those hiring the premises. Please ensure that you take sensible precautions regarding your belongings.

Community Premises License

Please note that when the Church and Hall are used for Public Events which are not Services of Worship, they operate under the conditions of the Community Premises License. Copies of the license and the associated rules and conditions are displayed on the Notice Boards in both rooms.
When using these rooms for a public event a member of the event will be nominated as being in charge. That person will ensure that they are aware of the requirements of the licence and draw the attention of those attending to the Fire Escape Procedures. In addition they will ensure that they are familiar with all the Fire Escape exits and that these are freely available for use by the persons attending the event.
Instructions as to how the Fire Alarm Panel operates are displayed alongside the Unit.

Insurance

In order to protect your own interest, Public Liability Insurance should be taken out by yourselves other than when using the premises on a one off basis.

Safeguarding Children & Young People

The Church has adopted a policy designed to safeguard the interest of both children and young people and those supervising them when using the premises. Details can be found displayed on notice boards throughout the premises and a summary is attached for your information. As a condition of your use of our premises we require you to sign an undertaking that you will adhere to this policy when using our premises. (FORM BC1 - Please ask if you require this form)

Health & Safety at Work

We try to ensure that all our equipment is in good and safe working order but we do rely on those who use our premises to notify us of any defects and would be obliged if you would assist us by notifying the Circuit Office or the Premises manager of any faults.

No Alcohol Policy

The Methodist Church has a no alcohol policy which also includes a ban on its use as a prize in permitted raffles (see Fund Raising Section please). No alcohol is permitted on Church premises.

Toilets etc.

    These are situated in the following places:
  • Church Crush Hall - disabled
  • Adjacent to Sandgate Room - disabled
  • Downstairs link area - disabled with shower and baby change facilities
  • Downstairs link - separate male and female Adjacent to Upper Room - disabled
  • Adjacent to Upper Room 2
We endeavour to keep these toilets in pristine condition and your assistance in maintaining high standards of hygiene is sought by advising us of any problems you may encounter.

Room Cancellations

Rooms should be cancelled initially by telephone followed by confirmation in writing by letter, fax or E-Mail.

Cancellation Charges

    Cancellation Charges for Room Hire
  • Cancellation of Room(s) …. 10% of Room Cost
  • Less than 2 weeks notice …. 20% of Room Cost
  • Less than 2 working days notice or failure to inform us of Cancellation …. Full charges
    Cancellation Charges for Catering
  • Cancellation within 2 working days ….. 50% of cost
  • Less than 24 hours notice or failure to inform us of Cancellation …. Full charges
Provisional Bookings may be made but they will only be held for 2 weeks. There will be no charge made if a provisional booking is cancelled within that time.

Catering

You are welcome to use our kitchen facilities as long as you provide the refreshment materials yourself. We would ask that you inform us if you need access to the kitchens and also that you leave the areas as you found them. The premises are fitted with electrical trip facilities. Should you have any problems please contact the Circuit Office or the Premises Manager.
Alternatively you may wish to use our caterer, who can offer a variety of options. You should note that the minimum order is for 10 people unless previously arranged. Bookings can be made when hiring the room.

Musical Instruments

The pianos located in the hall, Sandgate Room and Upper Room may be used free of charge. The grand piano in the Church is the property of Penrith Music Club and should you wish to use it you must contact the Secretary, Mr John Upson (01768 863538). The organ in the Church may be used but we reserve the right to make a separate charge depending upon the circumstances. The Rev Michael Canon (01768 866537), our principal organist, will be pleased to give advice regarding its musical capabilities. If you need the organ moving, please arrange this with the Premises Manager

Ancilliary Equipment

The Church can provide a flip chart, video player & monitor, overhead projector & screen for use when hiring rooms at no charge. It is preferable that you indicate your requirements on the booking form. If less than 7 days notice is given we cannot guarantee that they will be available. The Church is equipped with a comprehensive PA and Loop System and a portable system is available for use in some of the other rooms. A single microphone and stand can be provided at no charge. Other facilities may be hired for an extra charge, which will be based on its use, and the need for an operator for which 7 days notice is required.

First Aid

First Aid boxes are situated in the main kitchen and upstairs kitchen. If any accidents should occur please fill in the Accident Book located in the Reception Area.

Telephone

There is no pay telephone on the premises but the nearest is located opposite the Church outside the DHSS Offices at the junction of Portland Place and Drovers lane. In the event of an emergency the telephones in the Church may be used.
